What this policy covers and where separate customer terms apply.
Approvals and responsibilities stay visible throughout the workflow.
Responsibilities, dependencies and limitations stay explicit.
Before payment
A cancellation before payment carries no cancellation charge. No service or access should be represented as purchased until the agreed payment or accepted order conditions are met.
After payment, before work starts
The paid amount should be refunded except for genuine, lawful, non-recoverable third-party costs that were clearly disclosed before purchase and can be evidenced. Tax treatment and any credit note must follow the applicable invoicing rules.
After work starts
Building Bots may account for documented work completed against the approved scope and approved non-recoverable third-party costs. The unused balance should be refunded without double counting. The quotation should identify milestones or another understandable valuation method before work begins.
Subscriptions
A cancellation or non-renewal stops the next renewal. Unless an accepted order says otherwise, access continues through the already-paid term. Cancellation does not itself delete customer data; export, disconnection and deletion are separate processes.
Undelivered or deficient service
Building Bots will not impose a cancellation penalty for its own failure to deliver the agreed service. Remedies for deficient, defective or undelivered services remain subject to the accepted agreement and any mandatory rights that apply.
No blanket 18% deduction
The previously proposed 18% deduction is not adopted as a blanket policy. GST at a particular rate is not automatically a cancellation charge. The tax and credit-note treatment of any refund requires the actual supply, invoice and applicable GST rules to be reviewed.
How to request cancellation
Write to support.buildingbots@gmail.com with the customer name, order or quotation reference, affected service and requested effective date. Identity and authority may be verified.
